On Desk

Do's

  • Clock into Paycom when you arrive for your shift.
  • Be aware and greet patrons when they approach the Circulation desk.
  • Check your assignment for the hour.
  • Use the No Log (located on the desktop screen) when you have to answer a question with NO!

Dont's

  • Avoid using your own laptop/cellphone.
  • Do not share private patron information with anyone.
  • Limit friends visiting you to no more than a brief “hello”.
  • Do not look up people in FOLIO – only use people’s ID’s
  • Avoid talking too loudly or using profanity – maintain a professional atmosphere.

Good to Know

  • An updated faulty list is in the clipboard rack.
  • Laptop agreement forms are in the clipboard rack. You can check on someone’s account info to see if they have signed the agreement or not.
  • Course reserve forms are in the clipboard rack.
  • Payment schedule is in the clipboard rack.
  • Remember that if you are ever in doubt about where something goes, you can always ask.
  • FTCE guides are under Education in reserves.

Checklist

Printers

This is an important step, since there is so much printing going on during the semester. This includes the printers on the third floor; use discretion and don’t go into the classrooms if a class is present. If the printers are low on toner, note that at the bottom of the checklist sheet and notify a supervisor.

Make sure they are filled as close to the MAX as possible, we try to keep them filled.

Rooms

Straightening up the rooms upstairs is also very important. Students come in and out of study rooms, they eat in there and it gets messy. Make sure to check all the study rooms on the second floor and to throw away any trash left behind. Wipe down the tables, and make sure all the chairs are pushed in. Just make sure everything is kept looking good and clean!

Reshelving

Remember that before reshelving any books, you have to sensitize them and check them in again. When you are sensitizing a book, if for some reason the light does not turn on, you will need to put in a new sensor strip. If you’ve never done that before, ask a supervisor for instructions.

While you are reshelving you may find misplaced books. If the book has been misplaced by just a few books or just a few shelves, then just go ahead and shelve it correctly. However, if the book has been terribly misplaced (like by a few rows, or ex. you find a B in the Ps) then bring it down to the circulation desk. Check in the book to make sure it has not been checked out or marked missing.

Return Carts

There are usually two return item carts on the 2nd floor. Students and staff will place books there that they have used but not checked out. Make sure to check the carts while you are upstairs. Bring all the items back to the circulation desk and check them in to make sure they were not checked out. Just make sure you check them in, if you see the little house icon that means we are logging its use count.

Shelf Reading

Shelf reading is now done manually. Your job is to make sure all the books are in order according to the Library of Congress Classification system, so it is a good idea to know how it works. If you catch any mistakes such as the spelling being wrong or a book being wildly misshelved, it is a good idea to bring down to a supervisor. Make sure you are putting volume sets in numerical order.

You will be picking up where the person before you left off; make sure you are signing off on where you started and where you stop. This is less about how much you can do in your hour and more about continuing the process to make sure things are where they’re supposed to be.

How to Use FOLIO

Check Outs

In order to check out an item, you have to first scan the patron’s Flagler ID. Students are not allowed to check out any item from the Library unless they have their Flagler ID. A driver’s license or their student number is not acceptable. The only ones who are allowed to check out an item without ID are faculty/staff, but only a supervisor can process this. Do not look people up!!!

ILLs are already checked out to the patron, so just make sure you to desensitize them before handing them over.

Check Ins

Always make sure to check in all the items that are returned to the circulation desk or that are left in the book drops. Failing to check in an item could possibly result in fines for the patron. After checking them in, sensitize them and put them in the preshelving area behind the Circulation desk.

Holds

In FOLIO under Requests, you are able to see what holds are waiting. Simply choose the Actions button in the top-right corner and select “print pick slips.” If you cannot make this choice, there are no holds waiting to be pulled.

Students are not able to put reserves on hold.

Do not tell people who has something on hold, that breaks confidentiality. 

Count Use

If you check something in and the house icon pops up, you are counting the browse count.

Searches

When searching for a book for a student, use the Library website. In FOLIO, you are able to check under Courses for things listed under specific classes and by professor, along with the gen ed reserve items. 

You are also able to see whether or not something is available or not through Discovery.

 

ETC.

At the end of every single action on FOLIO, you need to press end session.

If an item comes up as non-circulating, a supervisor will need to do the checkout.

If a patron is signing the laptop agreement, make sure you hand the sheet over to a supervisor.

Common Questions

Q: What is the name of the web page to print online?

A: It is http://print.flagler.edu, and you have to log in with your Flagler credentials (the same as your email). There is also access to wireless printing on the Library’s homepage.

Q:Why is the printer not working?

A: Check if the document they are trying to print is on a larger size sheet than the one set on the printers. if it is larger, go to the printer and just click continue to use paper on tray.

Q: What do I do if one of the printers has a paper jam?

A: The easiest way to fix it is just by following the instructions the printer provides you. You can hit Show Me on the screen of the printer, and the printer will show you step by step with visuals what you need to do. If you are nervous about doing it on your own, let your supervisor know.

Q: How do you print a document on both sides of the paper?

A: When printing to the wireless printers, you’ll need to choose the printer with “2sided” in the name. If printing from one of the lab computers, choose the option to “print on both sides” from the print dialog box.

When in doubt, ask your supervisor for help!

Additional Policies

  • No giving away pens, highlighters, manila folders, index cards, etc.
  • Every patron will need to sign the laptop agreement again for the fall semester. In a patron’s account on FOLIO, you can see whether or not they have signed the laptop agreement. Once a patron has signed it, you will need to hand the sheet over to a supervisor.
  • External DVD drives are now available for checkout.
  • If something was checked out while on display, a message will appear when it is checked in; you can either return it to Ginee or put it back on display.
  • Popular fiction and non-fiction is located on the north end of the floor in front of the DVD shelves.
  • When visitors come in looking for a staff member, please alert the staff member and escort the guest to their office. Do not send them on their own.
  • Head counts will be done every hour on the hour on each floor. This is done on the iPad in a Google Sheets document.
  • The student worker attendance policy allows for a maximum of 3 absences per semester. If you’re unable to make your shift, email libraryworkstudy@flagler.edu to see if anyone can pick up your shift. (If you must be out due to illness, a family emergency, car problems, etc, please speak with a supervisor so we can make a note of that.)
